An application can come back to you for something small: a filtered photo, a missing pose, a picture that is out of date. This guide shows you how to get your photos and video right the first time.

[Talent guide]

Before you start

Sign up as a client on behalf of your company. Before you can contact anyone through Toma, we check that your company is a real business and that you act for it.

You tell us who the company is, send a registration document, your website and address, and confirm a work email on your company's own domain. A person at Toma looks at all of it.

We ask because our talent trust that whoever contacts them is who they say they are. Checking every company first keeps fake jobs and impersonators away from them, and some of them are under 18.

Three ways to find talent

Once your company is approved, there are three ways to reach talent. Each starts with a brief: what the job is, when and where it happens, what the images are for, and your budget.

Ask one person

If you already know who you want, choose them from the board and send your brief to them alone. This suits a job built around one face, or a talent you have worked with before. They answer yes or no by a date you set.

Post a listing

If you know what you need but not who, publish your brief on the job board with the characteristics you are looking for. Talent who match are told about it and put themselves forward, and you choose among them. This suits a casting where you want to see a range of people.

Let Toma find them

If you would rather not search yourself, or need someone hard to find, send your brief privately to Toma. One of our people looks for talent who fit, asks them first, and puts forward only those who are interested. Your brief is never published. This suits urgent jobs and unusual requirements.

What happens to your brief

A person at Toma reads every brief before any talent sees it. We check that the job is real, clear, and safe. We may send it back with a note asking you to fix something, or turn it down and tell you why.

Once your brief is through, the talent decides. Each person says yes or no, and nobody is put in touch with you without having said yes.

For anyone under 18, their parent or legal guardian decides, and is your contact for everything about them.

Agreeing the job

When you and the talent have both said yes, a conversation opens between you on Toma. Talk through the details there. Toma's staff can read it, and join in if either of you needs help.

When you are ready, send your terms as an offer: the dates, the location, the fee, and the usage terms. The talent, or the guardian for anyone under 18, accepts it or turns it down.

An accepted offer is the booking: the fixed record of the job you both agreed.

Usage terms explained

Usage terms say what the images or footage will be used for, where they will appear, and for how long. You describe them in your brief and confirm them in your offer.

  • What for: the product, campaign, or purpose the images serve.
  • Where: the media they will appear in, such as social media, a website, print, billboards, or television, and in which countries.
  • How long: the period during which you may use them. After it ends, you stop using them unless you agree more with the talent.

For example

  • A clothing brand's spring catalogue: photos on the brand's own website and social media in Guatemala, for one year.
  • A bank's campaign: photos on billboards and bus shelters, in print, and online across Central America, for six months.
  • A restaurant opening: a short video for paid social media ads in Guatemala City, for three months.

A face on billboards across a region for two years is a different job from a photo in one season's catalogue. Talent are entitled to know where their image will appear and for how long before they agree, so they can judge whether the job suits them and avoid appearing for two competing brands at once. Using the images beyond what was agreed needs a new agreement with the talent.
